Job Categories
IPS users from the HR staff, with access to the Maintenance menu,
have the privilege of making changes in employee job codes
settings. All changes made in this module will only affect
employees under that particular company code in user session. This
means that one job code may be setup in a certain way in company
code JAM (Jamaica), but could be setup differently in INDI (India)
or SPAN (Spain).
Making changes in Job Code settings:
- Go to Maintenance. Select Job Code Settings and click on job
Categories. System will take user to the Categories Maintenance
screen where the following fields will appear.
-
- Pay Period: It will default to current pay period. Changes made
in job codes will be in place from that date on and until updated
or changed again. This means settings may be changed from one pay
period to the next, or may be left the same.
- Company Code: It will show user session company code, and will
appear grayed out.
- Job Code: Select job from drop down menu.
- Description: It may be left blank.
- Click on Lookup Job Code. System will take user to the
Categories Maintenance -Change screen, where the following settings
can be managed:
-
- Pay Period, Company Code, Job Code and Description will appear
grayed out.
- Local Description: Enter job title in local language.
- Security Level: This field is now discontinued. It was
initially intended to determine the priority in user server
transactions, but not anymore. Selection set from drop down menu
will not have any impact in employee job code functionality.
- Category: Drop down menu provides the following options:
- Manager - It refers to the individual who directs the work of
other employees.
- Supervisor - It refers to employees who oversee
production-related activity, like team leads, or supervisors.
- Office Worker - It refers to employees whose work is of
administrative nature, like a secretary or a clerk.
- Operative Direct - It identifies employees who perform
production-related activity, like data entry, sorting, or call
center customer service.
- Operative Indirect - It referes to employees who perform
production-related activity, but their tasks are more oriented to
quality or production control.
- Apply Automatic Attendance - Click on this checkbox if
employees do not need to clock in and out. Employee attendance
record will automatically show attendance in every workday, unless
an incidence is entered. On the ohter hand, if this checkbox
remains unchecked, all employees who have this job code will need
to register time clocks in order to have their attendance reflected
in their time sheets.
- Click on Change. Job Code settings will be saved and a
confirmation message will appear on top right.
IMPORTANT: Only employees whose job code has been
categorized as Manager or Supervisor will appear
listed in the employee supervisor drop down list .
